How Do I Create Recurring Tasks?

Learn how to create recurring tasks that automatically repeat on a daily, weekly, monthly, or yearly schedule.

Overview

Recurring Tasks automatically create the next task based on the recurrence settings you choose. They are useful for work that happens regularly, such as follow-ups, reviews, reports, and routine activities.

🚧 Important: Swivel creates only one open task at a time for each recurring task. Future tasks are not created in advance.

Each new recurring task keeps the original task's:

  • Name

  • Description

  • Assignee

  • Priority

  • Category

  • Linked Contact

  • Linked Product

When Should I Use Recurring Tasks?

Recurring Tasks are useful for activities that happen on a regular basis, including:

  • Annual policy reviews

  • Quarterly client check-ins

  • Monthly reporting

  • Weekly follow-ups

  • Daily operational responsibilities

If you create the same task repeatedly, a recurring task can automate that process.

Create a Recurring Task

  1. Create a new task or open an existing task.

  2. Turn on Repeats.

  3. Choose how the recurring task repeats:

    • Fixed schedule

    • When completed

  4. Choose how often the task should repeat.

  5. Choose when the recurring task should end, if needed.

  6. Select Save recurrence.

Choose How the Recurring Task Repeats

The Based on setting determines how Swivel calculates the recurring schedule and when the next task is created.

With both options, Swivel creates only one open task at a time. The difference is what determines when the task should repeat:

  • Fixed schedule: The task repeats on a calendar schedule, such as every Monday or the first day of each month. The next task is created in the early morning on the next scheduled date, as long as the previous task has been completed.

  • When completed: The next task is created immediately after you mark the current task complete, with a due date based on the selected repeat interval.

Fixed Schedule

Choose Fixed schedule when the task should repeat on specific calendar dates.

Examples:

  • Every Monday

  • The first day of each month

  • Every year on a specific date

With Fixed schedule:

  • The task follows the calendar schedule you choose.

  • Swivel creates only one open task at a time.

  • If the current task is complete, Swivel creates the next task shortly after midnight in your time zone on the next scheduled date.

  • If the scheduled date arrives while the current task is still open, Swivel waits until you complete the current task.

  • When you complete the task after its scheduled date, Swivel creates the next task immediately and keeps the original scheduled due date, even if that date is now in the past.

Example:

A task repeats every Monday. You complete the Monday task before the next Monday. Shortly after midnight on the next Monday, Swivel creates the next task with that Monday's due date.

If the Monday task is still open when the following Monday arrives, Swivel does not create another task. When you complete the task, Swivel immediately creates the next task with the original Monday due date, even though that date has passed.

When Completed

Choose When completed when the next recurring task should be created when the current task is completed.

The next task is created immediately after completion, with its due date based on the selected repeat interval.

Examples:

  • Follow up 30 days after a client meeting

  • Contact a prospect one week after sending information

  • Schedule a review six months after completion

With When completed:

  • Completing the current task creates the next task immediately.

  • The next task's due date is based on the selected repeat interval.

Choose How Often the Task Repeats

Use Repeat every to set how frequently the task repeats.

Examples:

  • Every 1 day

  • Every 2 weeks

  • Every 3 months

  • Every 1 year

Additional scheduling options may appear depending on the interval you select.

Choose When the Recurring Task Ends

You can choose whether the recurring task:

  • Never ends

  • Ends after a set number of repeats

  • Ends on a specific date

Why don't I see my next recurring task?

Swivel creates only one open task at a time for each recurring task. Future tasks are not created in advance.

For Fixed Schedule tasks:

  • If the current task is complete, the next task is created shortly after midnight in your time zone on the next scheduled date.

  • If the current task is still open when the scheduled date arrives, Swivel waits until you complete it.

  • Once you complete it, Swivel creates the next task immediately with the original scheduled due date, even if that date has passed.

For When Completed tasks, the next task is created immediately after the current task is completed. Its due date is calculated based on the selected repeat interval.

What happens if I don't complete a recurring task?

Swivel does not create another open task while the current recurring task is still open.

For Fixed schedule tasks, if the scheduled date arrives while the current task is open, Swivel waits until you complete the current task. The next task is then created immediately with the original scheduled due date.

For When completed tasks, completing the current task immediately creates the next task. Its due date is calculated based on the selected repeat interval.

Can I change a recurring schedule?

Yes. You can update the recurring schedule at any time.

Changes apply to future tasks and do not change the current open task.

What information carries over to the next recurring task?

Each new task keeps the original task's:

  • Name

  • Description

  • Assignee

  • Priority

  • Category

  • Linked Contact

  • Linked Product
