Contact Visibility and Permissions

Restrict contact visibility to specific users or group of users in Swivel.

Swivel has two options to control who can see contacts in your account.

  1. Assign Contact Visibility by User

  2. Assign Contact Visibility by Group

Assign Contact Visibility by User

  1. Navigate to the desired contact record.

  2. Click Edit Contact button

  3. Scroll to the User Visibility drop down on the contact form > select user(s) to have contact viewing privileges.

  4. Click Save button.

Assign Contact Visibility by Group

Step 1: Creating Groups

  1. From the left-side main menu, go to the Settings tab.

  2. Click the Settings tab to view more options.

  3. Click Groups.

  4. Click the +New button.

  5. Complete the New Group form.

    1. Name

    2. Description (optional)

    3. Users

  6. Click Save.

  7. To edit a group, click the Action Menu > select Edit.

Once the group(s) have been successfully created, complete the below steps to select a group(s) that have contact viewing privileges.

Step 2: Assign Group Visibility to Contact

  1. Navigate to any Contact record.

  2. Go to the Action Menu > select Edit.

  3. Go to Group Visibility > select a group(s) to have contact viewing privileges.

  4. Click Save button.

πŸ“Œ Note: Users with an Owner role still have access to view all contact records, regardless of viewing permissions.

Contact Visibility FAQs

If I leave the user visibility and the group visibility fields empty, does the contact defaults to "everyone"?

Yes, the default is that all users (everyone) can see the contact.

Can I restrict specific contact information shown (SSN, policy info, notes, etc.)?

Not at this time.

If I select one user for user visibility and select a custom made group for group visibility, then every member of the custom group and the one user will see the contact, correct?

Yes, that is correct.

If I leave the user visibility empty and select a custom made group for group visibility, then only the people in that group will have access to see that contact, correct?

Yes, that is correct.

Can I merge duplicate contacts with visibility restrictions?

You must remove the visibility and group restrictions on the contacts before you merge. Once successfully merged, you can reapply the any visibility and group restrictions as needed.


Can I bulk assign visibility for contacts?

Yes! To bulk assign or edit visibility for selected contacts, navigate to Contacts and carefully filter the contacts you want to update. Then, click the Action Menu and select Bulk Update. Choose Assign Users as the field to update.
