How to Track and Record your Production in Swivel After a Policy is Issued

Use this guide each time a policy moves to the Policy Issued (or equivalent) stage.

Follow these steps to track your production in Swivel. During this process, you’ll also update contact and policy details and confirm that commissions have been paid, ensuring all related records are complete and accurate.

1. Locate the Opportunity

Click Opportunities in the left-hand navigation menu, then navigate to the opportunity that is now at the Policy Issued (or equivalent) stage.

2. Update the Contact Record

From the opportunity card, click on the associated contact:

  • Click Details to launch the full contact record

  • Click the Edit Contact button

  • Update the Contact Category from Lead to Client

  • Set the Contact Status to Active (or equivalent)

  • Click Save

3. Record Product Details

Scroll to the product:

  • Click on the product to show the product details page

  • Click the three-dot action menu > Edit

  • Update the Product Status to Issued

  • Enter the Issued Date

  • Add the Policy Number

  • Click Save

4. Track Production Data

Scroll to the Contributions & Withdrawals tab:

  • Locate the record of the initial funding

  • Click the three-dot action menu > Edit

  • Review the details of the transaction and make any needed adjustments to the date or amount

  • Mark the transaction as Complete

5. Verify Compensation Information

📌 Note: Compensation data is only visible to users with the Owner or Compensation user role.

Click the Compensation tab:

  • Locate the pending compensation record

  • Click the three-dot action menu > Edit

  • Review the compensation details and make any needed adjustment to the date or amount

  • Mark as Complete

🚧 Important: Production will appear on your dashboard as Pending until the compensation is marked Complete. The Compensation Paid Date determines which year the production is counted in, so always check this date before completing the compensation. This is especially important at the end of the year to avoid confusion, such as production appearing in the previous year even though the policy actually closed in the current year.

6. Advance the Opportunity

Return to the opportunity:

  • Advance the sales stage to Closed Won (or equivalent) to reflect that the policy has been fully processed and production has been recorded.

This signals that no further updates are required for this policy.

Production Completion Checklist

Before moving on, confirm that all the following are complete:

  • Contact is updated with a category of Client and a status of Active (or equivalent)

  • Product details are updated (including issued date and product number)

  • Product status is updated to Issued (or equivalent)

  • Initial funding transaction is marked Complete

  • Compensation is marked Complete

  • Opportunity stage reflects the final production status

Following these steps ensures that all production is fully captured in Swivel and accurately reflected in production reporting.
