Send Appointment & Marketing Event Reminder Text Messages

Written by Boni Newberry

Overview

You can send appointment and marketing event reminder texts directly from the existing Send Text automation action—no separate action required.

When a Send Text step is marked as an Appointment Reminder or Marketing Event Reminder, Swivel sends the message as a transactional notification.

Because the recipient has already provided their phone number in connection with an appointment or event, reminder messages do not require double opt-in confirmation.

📌 Note: Swivel continues to honor all STOP requests and Do Not Contact restrictions.

Why This Matters

Reminder messages are different from marketing messages. Recipients expect notifications about appointments and events they have already scheduled or registered for.

Examples of reminder messages include:

  • Your appointment is tomorrow at 2:00 PM.

  • We look forward to seeing you at Thursday's seminar.

  • Your annual review begins in one hour.

Examples of marketing messages include:

  • Learn about our latest investment strategies.

  • Schedule a meeting to discuss your retirement plan.

Reminder messages should be informational, not promotional.

Creating a Reminder Message

  1. Open your Automation.

  2. Add or edit a Send Text action.

  3. Enable Appointment Reminder or Marketing Event Reminder.

  4. Enter your message.

  5. Save and publish the automation.

Example

Hi Sarah, this is ABC Financial. Just a reminder that your annual review meeting is scheduled for tomorrow at 2:00 PM. We look forward to seeing you.

How Swivel Helps Protect Deliverability

To help ensure reminder messages reach your contacts while maintaining carrier compliance, Swivel performs a series of checks when you publish an automation.

Publishing Requirements

The following issues must be resolved before the automation can be published:

  • A public URL shortener is detected.

  • The automation is not triggered by an Appointment or Marketing Event.

These requirements are designed to prevent common carrier compliance issues that could impact message delivery.

Helpful Warnings

Some messages may generate warnings during publishing. These warnings are informational only and will not prevent the automation from being published.

Examples include:

  • Your business name is not included.

  • The appointment or event is not clearly referenced in the message.

  • Promotional language is detected.

  • Sensitive content is detected — The message contains content related to topics that carriers commonly review more closely, such as alcohol, firearms, tobacco, adult content, or other regulated subjects.

While these warnings do not block publishing, addressing them can help improve message clarity, compliance, and overall deliverability.

Best Practices

✅ Clearly reference the appointment or event

✅ Include your business name

✅ Keep messages short and informational

❌ Avoid promotional or sales-focused language

❌ Avoid using reminder messages for marketing campaigns
