Overview
After an import or migration, you may notice that a product needs to be reviewed and corrected.
For example:
The product appears in the wrong drawer on a contact record.
The product has an unclear or placeholder name.
You need to update an imported product instance to a matching pre-configured product.
This article explains how to correct these issues.
If you're reviewing products across multiple contacts or an entire import or migration, see How Do I Audit Products After an Import or Migration?
Is the Product a Placeholder?
Some imported products are placeholders. Examples include Default Redtail Account and Default Wealthbox Account.
A placeholder can represent different products for different contacts, so it should not simply be merged into one product.
If The Product Is a Placeholder
To update a placeholder product for an individual contact:
Determine what the product should be. You can:
Review notes on the contact record.
Check your previous CRM for additional information.
Search the carrier's website if you know the carrier and have a product number.
From the contact record, open the product you want to update.
Select the three-dot action menu → Edit.
In the Product field, select the correct product from the dropdown.
If the correct product isn't available, highlight the current product name and enter the correct product name.
A New badge appears as you type, confirming that you're creating a new product.
Confirm that the Institution assigned to the product is correct.
Select Save.
If You Can't Save the Product Changes
If product value entries are present, you will see:
Cannot change between products when values are present
You must delete the existing product value entries before you can change the product.
Delete the Product Value Entries
Find the product on the client's record.
Select Update Values.
Select the trash can icon next to a product value entry.
In the confirmation window, select Delete Entry.
Repeat these steps for each product value entry.
Once all product value entries have been deleted, return to the product and make the correction.
If the Product Is Not a Placeholder
If the product is not a placeholder, check whether Swivel already has a matching pre-configured product.
Check for a Matching Pre-Configured Product
Go to:
Settings → Advanced Setup → Product → Products
Search for a pre-configured product that represents the same account or policy.
The product names may not be exactly the same.
For example:
Imported product: Allianz 222
Pre-configured product: Allianz 222 Annuity
Swivel doesn't label products as pre-configured. A product's Product Line and Product Type badges can help you identify a matching pre-configured product.
If You Find a Matching Pre-Configured Product
Merge the imported product into the matching pre-configured product.
Select Merge at the top of the page.
Under Merge from, select the imported product.
Under Merge to, select the matching pre-configured product.
Select Merge.
If You Don't Find a Matching Pre-Configured Product
Edit the imported product.
Search for the product.
Select the three-dot action menu next to the product.
Select Edit.
Update the information that needs to be corrected.
To change the drawer, select the appropriate Product Offering Type.
To clarify the product name, update Name.
Confirm that the Institution assigned to the product is correct.
Select Save.
You don't need to change every field. Update only the information that is incorrect.
