Data Cleanup Checklist After an Import or Migration

Learn to review and clean up your data after a migration or CSV import, including book of business imports. Review product data, carriers, institutions, agents, Contact Categories, and Contact Statuses.

Overview

After your data is imported or migrated into Swivel, review it to make sure your data is organized correctly and ready for you and your team to use.

This article covers cleanup after both data migrations and CSV imports:

  • Data migration — Moving data from another CRM into Swivel.

  • CSV import — Bringing data into Swivel using a CSV file, including contact imports and book of business imports.

The areas you need to review depend on the data you brought into Swivel.

If your migration or import includes product data, review the Product Data section below to make sure your book of business is organized correctly. If it includes contact data, review your Contact Categories and Contact Statuses to make sure your team has a clear and consistent way to manage contacts.

Some records may need to be updated because Swivel didn't have enough information to determine how to organize them during the migration or import, or couldn't match imported information to an existing Swivel record.

You don't need to complete everything at once. Work through the sections that apply to your data and make updates as needed.

Product Data

If you migrated product data or imported a book of business, review the following areas to make sure your products and related records are organized correctly.

Institution Types

During an import or migration, Swivel may not have enough information to determine how a carrier or institution should be categorized. When this happens, it may be assigned to Redtail, Wealthbox, or Unspecified as its Institution Type.

Swivel comes pre-configured with these Institution Types:

  • Broker/Dealer

  • Insurance Carrier

  • Bank

Review the carriers and institutions assigned to Redtail, Wealthbox, or Unspecified, and change them to the appropriate Institution Type.

How to Update an Institution Type

  1. Go to Business Management > Carriers & Institutions.

  2. Click Unspecified, Wealthbox, or Redtail to sort the list by that Institution Type.

  3. Click the three-dot action menu next to a carrier or institution.

  4. Select Change Type.

  5. Select the correct Institution Type.

  6. Click Save.

How to Delete an Unneeded Institution Type

After you've reassigned all carriers and institutions to the appropriate Institution Type, delete any Institution Types you no longer need.

  1. Go to Settings > Advanced Setup > Products > Institution Types.

  2. Click the three-dot action menu next to the Institution Type you no longer need.

  3. Select Delete.

  4. On the confirmation screen, confirm that there are no carriers or institutions associated with the Institution Type.

  5. Click Delete Institution Type.

Carriers & Institutions

Swivel comes pre-configured with many common carriers and institutions. During a migration or import, Swivel attempts to match the imported information to these existing records.

Sometimes Swivel can't make a match because the name is spelled or formatted differently. When this happens, you may see multiple carriers or institutions that represent the same organization.

Review your carriers and institutions for duplicates and merge records that represent the same organization.

Before You Merge

When you find duplicate carriers or institutions, check whether one of the records is a Swivel pre-configured record.

If one record is assigned to the correct Institution Type and the other is assigned to Redtail, Wealthbox, or Unspecified, the record with the correct Institution Type is likely the pre-configured record. Keep that record and merge the other record into it.

For example, if you have two records for the same insurance carrier:

  • Carrier A — Institution Type: Insurance Carrier

  • Carrier A — Institution Type: Unspecified

Keep the record assigned to Insurance Carrier and merge the other record into it.

If both records have the correct Institution Type, choose the record you want to keep based on which one contains the most accurate or complete information.

How to Merge Duplicate Carriers or Institutions

  1. Go to Business Management > Carriers & Institutions.

  2. Click the three-dot action menu at the top of the page next to the filter button.

  3. Select Merge.

  4. Under Merge From, select the record you want to merge.

  5. Under Merge To, select the record you want to keep.

  6. Click Merge.

After merging, review the carrier or institution to confirm that the correct Institution Type is assigned.

Products

Review your products to make sure they are organized correctly and appear under the appropriate Product Line and Product Type.

Product Statuses

Review your Product Statuses for duplicate or overlapping statuses.

After a migration or book of business import, you may have multiple Product Statuses that represent the same product state. Review your statuses and merge any that overlap so your team has a clear and consistent way to track products.

How to Merge Product Statuses

  1. Go to Settings > Advanced Setup > Products > Product Statuses.

  2. Click Merge at the top of the page.

  3. Under Merge From, select the Product Status you want to merge.

  4. Under Merge To, select the Product Status you want to keep.

  5. Click Merge.

After merging, review the affected products to confirm that the correct Product Status is assigned.

Agents

During a migration or book of business import, you may see duplicate agents or generic agent names, such as Redtail Agent or Wealthbox Agent.

Review your Agents and merge records that represent the same person.

How to Merge Duplicate Agents

  1. Go to Settings > Data Setup > Agents.

  2. Click Merge at the top of the page.

  3. Under Merge From, select the agent you want to merge.

  4. Under Merge To, select the agent you want to keep.

  5. Click Save.

Contact Data

If you imported or migrated contact data, review your Contact Categories and Contact Statuses to make sure your team has a clear and consistent way to manage contacts.

Contact Categories

Review your Contact Categories for duplicate, overlapping, or unnecessary categories.

During a migration or import, some categories may also contain information that would be better tracked using a Contact Status or another field.

Consolidate categories that represent the same thing, and move information to the appropriate field when needed.

Contact Statuses

Review your Contact Statuses for duplicate or overlapping statuses.

If multiple statuses represent the same stage or situation, consolidate them so your team has a clear and consistent way to track contacts.

Final Checklist

Before you finish your cleanup, review each of these areas:

  • Institution Types — Reassign carriers and institutions assigned to Redtail, Wealthbox, or Unspecified.

  • Carriers & Institutions — Identify and merge duplicate carriers and institutions.

  • Products — Audit your migrated or imported products.

  • Product Statuses — Identify and merge duplicate or overlapping Product Statuses.

  • Agents — Identify and merge duplicate or generic agents.

  • Contact Categories — Review and consolidate duplicate or overlapping categories.

  • Contact Statuses — Review and consolidate duplicate or overlapping statuses.

Once you've completed the checklist, your data should be organized and ready for you and your team to use in Swivel.
