Overview

You can use Zapier to automatically create new Swivel contacts from leads stored in a Google Sheet.

The integration works like this:

Google Sheet → Zapier → Swivel Contact

Once the connection is set up and turned on, each new row added to your Google Sheet can be sent to Swivel and created as a new contact.

This article explains how to set up Google Sheets and Swivel in Zapier.

If you already have a list of contacts that you want to add to Swivel all at once, see Import Instructions.

Before You Begin

Make sure you have:

  • A Google account with access to the spreadsheet containing your leads.

  • A Zapier account.

  • A Swivel account.

  • Access to the Swivel app in Zapier.

If you haven't connected Swivel to Zapier before, see Connect Swivel to Zapier.

Prepare Your Google Sheet

Before creating your Zap, make sure your leads are organized in a Google Sheet.

Use the first row for your column names, with each lead on its own row below.

For example:

Column

Example

First Name

Marcus

Last Name

Delgado

Email

Phone Number

512-555-0147

City

Austin

State

TX

Lead Source

Website Form

First Name and Last Name are required when creating a Swivel contact.

You can add additional columns for other Swivel contact information.

Accept the Swivel Invitation

Swivel is an invite-only app in Zapier. You need to accept the Swivel invitation before you can select Swivel when building your Zap.

1. Accept the Invitation

  1. Sign in to the Zapier account where you want to build the Zap.

  2. Open the Swivel invitation link.

  3. Select Accept Invite & Build a Zap.

You only need to accept the invitation once for each Zapier account.

Set Up Google Sheets

1. Create a New Zap

In Zapier, create a new Zap.

For the first step, select Google Sheets as the app.

2. Select the Event

For the event, select New Spreadsheet Row.

This tells Zapier to look for new rows added to your spreadsheet.

Select Continue.

3. Connect Your Google Account

Follow the prompts to connect the Google account that contains your spreadsheet.

Select Continue.

4. Select Your Spreadsheet and Worksheet

Choose:

  • The spreadsheet containing your leads.

  • The worksheet containing your lead information.

Select Continue.

5. Test the Google Sheets Connection

Select Test trigger.

Zapier will retrieve a row from your spreadsheet to use as sample information for the rest of the setup.

Choose a row that has information in as many columns as possible. This makes it easier to identify your columns when you map the information to Swivel.

Connect Swivel

1. Select Swivel

In the next step of your Zap:

  1. Search for Swivel.

  2. Select Swivel.

  3. For the event, select Create Contact.

  4. Select Continue.

📌 Note: Create Contact creates a new contact in Swivel. It does not check whether the contact already exists.

2. Connect Your Swivel Account

Under Account, select Select, then select + Connect a new account.

A Swivel sign-in window will open.

  1. Enter your Swivel username and password.

  2. Select Authorize when asked to allow Zapier to access Swivel.

  3. Return to Zapier.

  4. Select Continue.

If you've already connected your Swivel account to Zapier, select your existing account instead.

For more information about connecting Swivel to Zapier, see Connect Swivel to Zapier.

Map Google Sheets Information to Swivel

1. Choose Which Information to Send

Zapier will show the fields available when creating a Swivel contact.

For each Swivel field you want to use:

  1. Select the field.

  2. Choose the corresponding column from your Google Sheet.

At a minimum, map:

Swivel Field

Google Sheet Column

Required?

First Name

First Name

Yes

Last Name

Last Name

Yes

You can also map fields such as Email, Phone Number, Address, Lead Source, Contact Category, and other contact information.

Leave a field blank if you don't have that information or don't want to add it to Swivel.

2. Use a Fixed Value

You can enter a value directly into a Swivel field instead of using a column from your spreadsheet.

This is useful when the value is the same for every contact.

For example, if every lead in your spreadsheet came from your website, you can enter Website Form directly in the Lead Source field instead of adding a Lead Source column to your spreadsheet.

Test the Swivel Connection

1. Create a Test Contact

After mapping your fields:

  1. Select Continue.

  2. Select Test step.

Zapier will send the sample row from your Google Sheet to Swivel and create a contact.

Open Swivel and search for the contact to make sure the information was added correctly.

🚧 Important: The test creates a real contact in Swivel. If you used a test row, delete the test contact when you're finished.

Turn On Your Zap

1. Name and Publish Your Zap

Give your Zap a name that makes it easy to identify, such as:

Google Sheets Leads → Swivel Contacts

Then select Publish.

Your Zap must be published before it will process new rows.

What Happens After You Publish?

Once your Zap is published, each new row added to your Google Sheet can be sent to Swivel and created as a new contact.

Zapier checks Google Sheets on a schedule, so the contact may not appear in Swivel immediately.

🚧 Important: The Zap only processes rows added after the Zap is turned on. Existing rows in your spreadsheet are not automatically sent to Swivel.

If you want to add an existing list of contacts to Swivel, see Import Instructions.

Each Row Creates a New Contact

This Zap uses Create Contact, which creates a new Swivel contact each time the Zap processes a row.

It does not check whether a matching contact already exists in Swivel.

To avoid duplicate contacts:

  • Add each new lead as a new row.

  • Avoid repeatedly adding the same lead to the spreadsheet.

  • Don't delete and re-add existing rows unless you want them processed again.

Troubleshooting

Swivel Doesn't Appear When I Search for It

Make sure you've accepted the Swivel invitation in the Zapier account you're using to build the Zap.

After accepting the invitation, return to the Zap editor and search for Swivel again.

My Existing Rows Didn't Come Over

The Zap only processes new rows added after the Zap is published.

Existing rows are not automatically imported.

If you want to add an existing list of contacts to Swivel, see Import Instructions.

The Google Sheets Fields Aren't Showing Correctly

Make sure the first row of your worksheet contains your column names.

Then return to the Google Sheets step in Zapier and make sure you've selected the correct spreadsheet and worksheet.

You may also need to retest the Google Sheets step so Zapier can retrieve the current column information.

The Zap Fails When I Add a Contact Status

Contact Status requires a Contact Category.

If you're sending a Contact Status, make sure you're also sending a Contact Category.

I'm Getting Duplicate Contacts

Create Contact creates a new contact each time the Zap runs. It does not check for an existing matching contact.

Check whether the same lead was added to the spreadsheet more than once or whether an existing row was deleted and added again.

A Date Didn't Come Through

Make sure the date is formatted as MM/DD/YYYY in your spreadsheet.

A Phone Number Didn't Come Through

Check the phone number in your spreadsheet and make sure it contains a valid phone number.

A Contact Doesn't Appear in Swivel

First, check your Zap's history in Zapier to see whether the row was successfully processed.

If Zapier shows that the information was successfully sent to Swivel but the contact doesn't appear in Swivel, contact Swivel Support.

For issues with your Google Sheet or Zapier setup, check the relevant Google Sheets or Zapier support resources.
