Swivel allows you to schedule a workflow to begin on a specific future date. Scheduling requires two steps:
Enable scheduling in the workflow template.
Manually run the workflow and select the future start date.
Once the date is selected, the workflow will run automatically. Scheduling does not trigger a workflow automatically without this manual action.
Before You Begin
To allow a workflow to be scheduled:
Open the workflow template.
Check Automatically start scheduled workflows at specified start date.
Publish the workflow template.
This setting allows the system to automatically start the workflow on the date you select when running it manually.
If this option is not enabled, the Scheduled Start Date field will not appear when you select Run Workflow.
🚧 Important: If the workflow template is set to run automatically based on a trigger, you cannot schedule a start date. Even though both options can technically be selected in the template, scheduling only applies when the workflow is run manually. Triggered workflows run automatically, so the manual scheduling option is not available.
Schedule the Workflow
Follow the steps below based on the type of workflow and where you are running it.
1. Workflows Attached to a Contact
Workflows created for contacts are run directly from the contact's record.
Open the Contact record.
Click the Workflows tab.
Click the Run button.
Choose the workflow from the dropdown list.
(Optional) Enter details in Reason for Running Workflow.
In Scheduled Start Date, select a future date.
Click Run.
The workflow is now scheduled and will automatically start on the selected date.
2. Workflows on Opportunities, Products, or Appointments from a Contact
Workflows for related items can be run from the contact record using the three-dot action menu.
Open the Contact record.
Locate the related Opportunity, Product, or Appointment.
Click the three-dot action menu for the item.
Select Run Workflow.
Choose the workflow from the dropdown list.
(Optional) Enter details in Reason for Running Workflow.
In Scheduled Start Date, select a future date.
Click Run.
The workflow is now scheduled.
3. Workflows on Opportunities and Products from their Details Page
Workflows can also be run by opening the the Opportunity or Product record.
Open the Opportunity or Product record.
Click the Workflows tab.
Click the Run button.
Choose the workflow from the dropdown list.
(Optional) Enter details in Reason for Running Workflow.
In Scheduled Start Date, select a future date.
Click Run.
The workflow is now scheduled.
Important Clarification
What This Setting Does
Allows you to choose a future start date.
Automatically starts the workflow on that selected date.
Requires no additional action on the scheduled date.
What This Setting Does Not Do
Scheduling a workflow does not automatically open the Run Workflow window. You must manually run the workflow first to set the scheduled start date.
🔍 Tip: Click Run Workflow to choose a scheduled start date. Once set, the workflow will run automatically on that date.
Manage Scheduled Workflows from Workflows Button
You can view any scheduled workflow from any given record type. Record types include contacts, opportunities, products (accounts and policies), events and campaigns.
Click the Workflows button to view the Scheduled Workflow.
View Scheduled Workflow from Workflows list.
When you’re ready to run a scheduled workflow, click Start Workflow.
The workflow is now activated.
This workflow will now appear on the Workflows Dashboard Widget.
Manage Scheduled Workflows from Workflows Tab
You can also view Scheduled Workflows from the main menu Workflows tab.
From the main menu, click the Workflows tab.
Click the Filter button.
Go to Workflow Status > select Scheduled > click Filter.
Search results return Scheduled Workflows notated with a Scheduled tag.
Click the Start Workflow button to activate any scheduled workflow.
