Workflows Configuration

Create and edit workflows.

Adding Workflows to Contacts

  1. From the left-side main menu, click the Settings tab.

  2. Go to Data Setup tab > click Contact Types.

  3. From the Contact Types page > click the desired Contact Type you wish to build a workflow (ex. Individual).

  4. Go to Workflow Templates section > click +Add


Adding Workflows to Product Lines

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup tab > click Product section > click Product Lines.

  3. From the Product Lines page > click the desired Product Line (ex. Life Insurance) to be navigated to the corresponding page.

  4. Go to Workflow Templates section > click +Add


Adding Workflows to Product Types

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup tab > click Product section > click Product Types.

  3. From the Product Types page > click the desired Product Type (ex. Term Insurance) to be navigated to the corresponding page.

  4. Go to Workflow Templates section > click +Add


Adding Workflows to Products

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup tab > click Product section > click Products.

  3. From the Products page > click the desired Product (ex. Allianz 222) to be navigated to the corresponding page.

  4. Go to Workflow Templates section > click +Add


Adding Workflows to Opportunities

Sales Pipelines

  1. From the left-side main menu, click the Settings tab.

  2. Go to Data Setup section > click Pipelines.

  3. From the Pipelines page > click the desired Pipeline for adding a workflow.

  4. Go to Workflow Templates section. See Creating Workflows Templates.

Sales Stages

  1. From the left-side main menu, click the Settings tab.

  2. Go to Data Setup section > click Pipelines.

  3. From the Pipelines page > click the desired Pipeline > click the desired Sales Stage (ex. Qualify) for adding a workflow.

  4. Go to Workflow Templates section. See Creating Workflows Templates.


Adding Workflows to Marketing

Campaigns

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup section > click Marketing & Sales > click Campaign Types

  3. From the Campaign Types page > click the desired Campaign Type (ex. Seminar) for adding a workflow.

  4. Go to Workflow Templates section. See Creating Workflows Templates.

Channels

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup section > click Marketing & Sales > click Channel Types

  3. From the Channel Types page > click the desired Campaign Type (ex. Email) for adding a workflow.

  4. Go to Workflow Templates section. See Creating Workflows Templates.

Events

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup section > click Marketing & Sales > click Event Types

  3. From the Event Types page > click the desired Event Type (ex. Seminar) for adding a workflow.

  4. Go to Workflow Templates section. See Creating Workflows Templates.


Adding Workflows to Institutions

  1. From the left-side main menu, click the Settings tab.

  2. Go to Advanced Setup section > click Product > click Institution Types.

  3. From the Institution Types page > click the desired Institution Type (ex. Insurance Carrier) for adding a workflow.

  4. Go to Workflow Templates section. See Creating Workflows Templates.


Creating Workflow Templates

  1. Go to Workflow Templates section > click +Add button to create a new workflow.

  2. Complete New Workflow Template form. See Definitions.

    1. Name

    2. Description

    3. Position

    4. Automation Trigger Leave blank only for manual workflow types.

    5. Default Workflow Handler

    6. Auto Complete Workflow Setting

    7. Force Sequential Step Progression Setting

    8. Expires

  3. Click Save.

  4. From Workflow Templates panel, go to previously saved workflow > click Manage Steps

  5. From Steps pop-up window modal, click +Add Step button.

  6. Complete the following fields to add a workflow step. See Definitions.

    1. Name

    2. Duration optional

    3. Order

    4. Depends On optional

    5. Required optional

    6. Responsible

    7. Repeat steps 10-11 to add more workflow steps.

  7. Once complete, click Save.

  8. From the Workflow Templates panel, go to desired workflow action menu and click Publish.


Definitions

Workflow Template

Field Name

Definition

Name

The name of the workflow.

Description

Additional and helpful information about the workflow.

Position

The order in which a specific workflow should display from a drop-down selection menu.

Automation Trigger

The specific action or requirement to automatically activate or run a given workflow. Depending on the workflow type, different automation triggers will be available. Leave blank for manual workflow activation.

Default Workflow Handler

Identifies the user assigned to this specific workflow. Leave blank to manually assign workflow steps to a user after workflow activation.

Automatically complete workflow when all steps are complete

Automatically close an activated workflow once all steps are complete. This setting is enabled by default.

When disabled, the workflow will remain open and prompt the user to close manually by clicking the Complete workflow button.

Force sequential step progression

When enabled, requires workflow steps to be completed in a logical or specific order or each step must be completed prior to moving on to the next step.

Expires

Specifies the number of days to transpire before automatically closing and expiring a workflow.

Workflow Steps

Field Name

Definition

Name

The name of the workflow step.

Duration

Specifies the estimated or allotted time (hours) to complete the a given workflow step and the following step. Duration is calculated in business hours and every block of 8 hours, represents 1 business day. For example,

  • 8 hours = 1 business day

  • 16 hours = 2 business days

  • 24 hours = 3 business day

Order

The order in which a specific workflow step should be completed within a workflow.

Depends On

Identifies a pre-requirement, dependency or previous workflow step must be completed.

Responsible

Identifies the person assigned to a given workflow step within a workflow template.

Required?

Identifies a required step to be completed within a workflow. When this setting is enabled, users will not be able to delete this step on an activated or running workflow.
