🚧 IMPORTANT! Your import file must include headers. Please reference the import template as an example. For additional questions, please visit our Imports FAQs.

Downloading Import Template Files

Follow the instructions below to locate the Contact Tab Import template and to learn more about the data elements used in the import file. We recommend using the import template each time contacts are imported into Swivel.

🚨 Warning! Before you import, please review the Import File Scrubbing Best Practices and Checklist to ensure your data will import as cleanly and accurately as possible.


πŸ” Tip: Using the Swivel Import Template reduces the risk of having data be marked as Do Not Import by default.

πŸ” Tip: The first row of the Swivel Import Template has the proper headers for your file. The second row has example data (i.e. JJ Doe).

Import Template: Contacts, Leads, and/or Clients Tab

Follow the instructions below to locate your Import template from either the Contacts, Leads, or Clients tab.

  1. Click Contacts (or Leads or Clients) in the left-hand navigation menu.

  2. Click the Import button at the top of the page.

  3. New Import modal pop-up appears > click Template to download the Import template.

  4. Locate the template in your downloads and open the .csv file.

    1. Save the .csv file in a place that is easy to find as you will fill it out and upload it to import your contacts.

  5. Fill out the template based on the fields listed in the Import Fields section below.

Import Template: Event Attendance

Follow the instructions below to locate the Event Attendance Import template and to learn more about the data elements used in the import file.

  1. Click Marketing on the left-hand navigation menu.

  2. From the Open Events widget (or View All Events page), find the respective event record for your import. Navigate to the event record page by clicking the event name.

  3. From the event record page, go to the Registered section. Click the Import button.

  4. New Import modal pop-up appears > click Template to download the Event Import template.

  5. Locate the template in your downloads and open the .csv file.

    1. Save the .csv file in a place that is easy to find as you will fill it out and upload it to import your event attendance.

  6. Fill out the template based on the fields listed in the Event Import Fields section.

Import Template Fields

Below lists the importing fields and descriptions for import files. It is important to note that the fields can vary based on the location you are importing from. It also notates which fields are required for importing the contact successfully.

Valid formats include abbreviated or full State name (e.g., KS or Kansas)

Valid formats include 5-digit or 9-digit zip codes (e.g., 66203 or 66203-3547)

Tags

Can correspond to currently configured tags as well as created brand new tags using the import.

Additional Notes

Multi line Free Text field of notes associated to a contact. (Any text included in this field is imported as one complete note)

Product Number

The policy or account number of the product.

Insured

The insured person(s) on the policy if different than the Product Owner.

Institution

The Institution who services the product (i.e. Allianz, UHC, Schwab)

Institution Type

The type of Institution. Default options include: Insurance Carrier, Broker-Dealer, and Custodian.

Product

The name of the policy or account (i.e. Allianz 222, AARP Medicare Advantage, Simple IRA).

Product Type

The type of product or account such as Fixed Index Annuity, Medicare Advantage, and/or Simple IRA.

Product Line

The main line of business such as Annuities, Life Insurance, and/or AUM.

Product Status

Status of product as of a specific date.

Product Status Date

Date of the product status.

Status Indicator

Plan Type

Product Value

Product Agent

The Agent of Record for the policy or account.

Event Attendance Import Fields

Below is a list of fields that are used as column headers when completing Event Attendance Imports.

Advanced Import Field Options

Advanced importing options are available to users who:

  • Need to import additional data for a given contact record then provided in the Import template.

  • Need to import data in bulk using a .csv file and override the Required or Default Options.

Additional headers and fields available to import are provided below. Headers can be listed in any order within an import file.

Assigned To

Also referred to as Servicing Agent. Valid options must be the First and Last Name of an existing account user with Agent role permission (e.g., John Smith).

Lead Source

Valid options are pre-configured existing Lead Source (e.g., Referral) or Single-line free text to create a new value

Office

Valid options are pre-configured existing Offices or Single-line free text to create a new value.

Product Interests

Valid option are pre-configured existing Product Offering Types or Single-line free text to create a new value.

Zone

Valid option are pre-configured marketing Zones or Single-line free text to create a new value.

If any of the Import Modal fields (Assigned To, Lead Source, Office, or Product Interest) are also included on the .csv and the values in the import file are different than what is selected in the Import Modal fields, the import file will override this selection.

Importing Company Contact Types

  • By utilizing the Full Name column header, users can import Company Contact Types with the desired Company name in this field.

  • Ensure Company is selected as the Contact Type in the Default Options of the import modal when completing the Importing Your File(s) instructions.

NOTE: We recommend importing Company Contact Types in a separate file then Individual Contact Types to be sure all data is imported correctly.
