Institution Types

Examples: Banks, Broker-Dealer/Custodian, Insurance Carrier

Carriers & Institutions

Examples: Allianz Life, American Equity, Fidelity & Guaranty

Tip: It is common for duplicate carriers to each have products and contacts associated with them. This is expected and not an issue. When carriers are merged, all associated products and contacts are retained under the correct institution.

Product Lines

Examples: Annuities, AUM, Life Insurance

  • After migrating data from Redtail, it is common to see Redtail or Unspecified listed as product lines. Reassign any product types currently associated with these product lines to the correct type. Once all product types have been correctly reassigned, delete Redtail or Unspecified as product lines.

Product Types

Examples: Fixed Index Annuity, Variable Annuity, Immediate Annuity

  • After importing data, it is common to see multiple versions of the same product type due to spelling differences, extra characters, or formatting variations (e.g., Variable Anuity, Variable Annuities, Annuity-Variable). Merge these into Swivel’s standardized format.

Product Statuses

Examples: Pending, Active, Closed

  • After migrating data from a previous CRM, you may see multiple statuses with the same meaning (e.g., Open, In Force, Active). Decide which statuses you will use and merge equivalent statuses into a single standard.

Products

Examples: Allianz 222, Teton 7, AssetShield 10

  • After importing data, it is common to see multiple versions of the same product name (e.g. Allianz 222–1234567, Allianz Life 222, Allianz Life 222 Annuity). Merge these into Swivel’s standardized naming convention, which typically matches the product name used on the carrier’s website.

Agents

Examples: John Black, Carol Green, Susan Brown

  • After migrating data from a previous CRM, you may see multiple versions of the same agent due to spelling differences, extra characters, or formatting variations. Merge these into one agent.

  • It is also common to see Redtail Agent listed as an agent in Swivel. Merge these with the appropriate agent in Swivel.

Contact Categories

Examples: Client, Lead

  • After migrating data from a previous CRM, you may see multiple categories with the same meaning (e.g., Lead, Prospect). Decide which categories you will use and merge equivalent categories into a single standard.

Contact Statuses

Examples: Active, Inactive, Deceased

  • After migrating data from a previous CRM, you may see multiple statuses with the same meaning (e.g., Lead, Prospect). Decide which statuses you will use and merge equivalent statuses into a single standard.
