What Are AI Templates?

AI Templates are prompts you create to guide how AI summarizes your recordings. Instead of a generic summary, you can tailor the output to match your workflow, preferred structure, and level of detail.

Each template can include multiple titles and prompts to structure the AI-generated summary.

Steps to Create an AI Template

📌 Note: Only users with the Owner or Manager role can create and edit AI Templates.

  1. Click Settings

  2. Navigate to Data Setup

  3. Select AI Templates

  4. Click +New

  5. Fill out the following fields:

    • Name – A clear title for your template

    • Description – A brief explanation of what the template is used for

    • Titles and Prompts – Add one or more titles, each with an associated prompt.

  6. Click Save

How to Apply an AI Template

  1. Record a conversation, meeting, or note using the Recording feature

  2. To apply a specific template, click the dropdown arrow next to AI Summarize and select the desired AI Template

The AI automatically generates a summary based on your template’s instructions. The summary is added as a note on the contact’s record, and you receive an email notification when it has been added.

Tips for Writing Effective Templates

  • Be specific about what to include (e.g., action items, decisions)

  • Use clear structure (sections or bullet points)

  • Define tone and level of detail

  • Refine your template over time

Example Template

Titles and Prompts:

  • Key Points

    Summarize the main discussion points from this recording.

  • Decisions Made

    List any decisions agreed upon during the conversation.

  • Action Items

    Include tasks, assigned owners, and deadlines. Keep the summary concise and structured.
