Duplicate Contacts

Overview

Duplicate Contacts helps you find contact records that may belong to the same person.

From this page, you can:

  • Review duplicate suggestions

  • Merge duplicate contacts

  • Mark contacts as Not duplicates

  • Scan for new duplicate contacts after importing contacts

Duplicate checks run automatically in the background. The system never merges contacts automatically—every merge must be reviewed and confirmed by a user.

🚧 Important: Merging contacts is permanent and can't be undone. Confirm that both contacts belong to the same person before merging.

Open Duplicate Contacts

Go to Business Management > Duplicate Contacts.

Each item in the list represents a duplicate suggestion for you to review.

Contacts with the strongest matches appear first.

Review Duplicate Contacts

Each duplicate suggestion includes information to help you decide whether the contacts belong to the same person.

Review:

  • Contact details

  • Matching information

  • Match score

You can use filters to narrow the list:

  • Exact match shows contacts with the strongest matches.

  • Dismissed shows contacts you've marked as Not duplicates.

A higher match score means the contacts share more matching information. Use the score to prioritize your review, but always confirm the contacts belong to the same person before merging.

Merge Duplicate Contacts

Merge contacts when both contacts belong to the same person.

To merge a suggested duplicate:

  1. Review both contacts.

  2. Choose which contact to keep.

  3. Select Merge.

The duplicate contact is removed, and information from both contacts is combined.

The merge preserves information such as:

  • Notes

  • Appointments

  • Opportunities

  • Tasks

  • Messages

  • Documents

  • Workflows

  • Tags

  • Email addresses

  • Phone numbers

  • Addresses

If the contacts have different information, you can choose which values to keep before completing the merge.

Choose Which Information to Keep

Sometimes both contacts contain different information.

For example, one contact may have a newer address while the other has a different assigned team member.

To choose which information remains after a merge:

  1. Expand Choose fields individually.

  2. Select the value to keep for each field that is different.

  3. Review the preview.

  4. Select Merge.

Only fields with different values require a choice.

Mark Contacts as Not Duplicates

If two records belong to different people, select Not duplicates.

Marking contacts as Not duplicates:

  • Does not delete either contact

  • Does not change either contact

  • Removes the suggestion from your review list

  • Prevents that same pair of contacts from being suggested again

To dismiss multiple suggestions at once, select Dismiss all from the three-dot action menu at the top of the page. This dismisses all suggestions currently shown in the list after you confirm the action.

If you later determine the contacts should be merged, you can merge them from the Dismissed view.

Scan for New Duplicate Contacts

Duplicate Contacts scans automatically in the background.

If you have recently imported contacts or made many changes, select Rescan to search for new duplicate suggestions immediately.

Rescan may be unavailable if:

  • A scan is already running.

  • A manual scan was started recently.

The page displays the current scan status and when the last scan completed.

How Duplicate Contacts Are Identified

Duplicate Contacts compares information such as:

  • Name

  • Email address

  • Phone number

  • Address

Small formatting differences—such as capitalization, punctuation, extra spaces, and phone number formatting—don't prevent a match.

Each duplicate suggestion includes a match score.

A higher score means the contacts share more matching information. The score helps prioritize review, but it does not determine whether contacts should be merged.

Merge Safeguards

Duplicate Contacts includes safeguards to help prevent accidental merges.

  • Contacts are never merged automatically. You must review and confirm every merge.

  • If either contact changes while you are reviewing the merge, you must reopen the comparison before continuing.

  • Archived contacts cannot be selected as the contact to keep.

  • If either contact is marked Do Not Contact or Deceased, the merged contact keeps that status.

FAQs

Can I Undo A Merge?

No. Merging permanently combines two contacts into one and cannot be reversed.

Will Marking Contacts As Not Duplicates Delete A Contact?

No. Both contacts remain unchanged. Only the duplicate suggestion is removed from your review list.

Why Can't I Find A Duplicate I Expected To See?

A duplicate suggestion may not appear for several reasons:

  • A scan has not run since the contact was added or updated. Try Rescan.

  • The contacts have different names, email addresses, phone numbers, or other identifying information.

  • The contacts have the same name but different email addresses or phone numbers.

  • One of the contacts is archived.

  • The records were not identified as a likely duplicate.

You can still merge contacts manually if needed.

Why Did A Duplicate Appear Again?

The same two contacts will not be suggested again after you merge them or mark them as Not duplicates.

If a new contact is imported later and matches an existing contact, a new duplicate suggestion may appear for that new contact.

Why Is Rescan Unavailable?

Rescan is unavailable when:

  • A scan is already running

  • A manual scan was started recently

Wait a few minutes, then try again.

What Does The Match Score Mean?

The match score indicates how closely two contacts match based on the information they contain.

A higher score means the records share more matching information. The score helps prioritize review, but it does not determine whether contacts should be merged.

Who Can Use Duplicate Contacts?

All user roles can access Duplicate Contacts and review duplicate suggestions.

Users can:

  • Review duplicate suggestions

  • Mark contacts as Not duplicates

  • Merge contacts

Users with restricted contact visibility only see duplicate suggestions when they can view both contacts in the suggestion.
