Create & Manage Client Portals

Learn how to create a Client Portal, share household information, manage invitations, and control client access.

Overview

Client Portals give your clients secure access to information your firm chooses to share.

A Client Portal can be created for an individual or include information for multiple members of a household.

Each Portal has:

  • One Owner: The contact who receives the invitation and signs in.

  • Members: Additional contacts whose records can be displayed in the Portal.

A contact can belong to more than one Client Portal.


Create a Client Portal

  1. From the left navigation menu, go to Contacts.

  2. Open the contact who should receive the Client Portal invitation.

  3. Expand Client Portal Memberships.

  4. Click + New Portal.

  5. Enter a Portal Name.

  6. Review the contact receiving the invitation.

  7. Expand Company Info to select the company information you want displayed.

  8. Expand Agency/Staff to select the staff information you want displayed.

  9. Send the invitation.

The contact receiving the invitation becomes the Owner.


Create a Client Portal for a Household

When creating a Portal from a Household record:

  1. Select the household member who should receive the invitation.

  2. Select the household members whose records should also be available through the Portal.

  3. Complete the remaining Portal settings.

  4. Send the invitation.

The person receiving the invitation becomes the Owner. Other selected household contacts become Members.

Only the Owner receives the invitation and signs in.


View a Contact's Client Portal Memberships

From the contact record, expand Client Portal Memberships.

Here you can see the Client Portals the contact belongs to and whether they are the Owner or a Member.

Click the Portal Name to open the Portal.


Manage Your Client Portals

From the left navigation menu, go to Client Portals.

Use:

  • Active to view accepted Client Portals.

  • Pending to view invitations that haven't been accepted.

  • Search to find a Portal.

  • Invite Status to check the invitation.

  • Access to see whether the client can currently sign in.

  • Plaid to check whether Plaid is enabled. *Coming Soon

Click a Portal Name to view its details and activity.


Resend or Cancel an Invitation

If an invitation is still pending, open the Client Portal.

Resend Invite

Use Resend Invite to send the Owner another invitation with a new link.

Cancel Invite

Use Cancel Invite to cancel the invitation and remove the pending Portal.

🚧 Important: If the client needs Portal access later, you'll need to create a new Client Portal.


Disable or Enable Client Access

Use Disable Access when you temporarily need to prevent a client from signing in.

Disabling access preserves the Client Portal and its memberships.

When the client should have access again, select Enable Access.

🔍 Tip: If the restriction is temporary, disable the Portal instead of deleting it.


Delete a Client Portal

Deleting a Client Portal permanently removes the Portal and its membership links.

🚧 Important: Deleting a Client Portal cannot be undone.


Troubleshooting

My client didn't receive their invitation. What should I do?

First, confirm the email address for the Portal Owner.

If the invitation is still Pending, open the Client Portal and select Resend Invite.

My client can't sign in. What should I check?

From Client Portals, check:

  • Invite Status

  • Access

If the invitation is Pending, it may need to be resent.

If the invitation was accepted but Access is disabled, enable access when appropriate.

What should I check before merging contacts?

Review Client Portal Memberships before completing a merge.

If a contact who owns a Client Portal is merged into a Household record, their Portal is archived and they can no longer sign in. A new Portal may need to be created if access should continue.


FAQs

Can multiple people sign in to the same Client Portal?

The Portal Owner receives the invitation and signs in. Members do not receive separate invitations or logins for that Portal.

Can a contact belong to more than one Client Portal?

Yes. A contact can own one Portal and also be a Member of other Portals.

What's the difference between Disable Access and Delete?

Disable Access temporarily prevents the Owner from signing in and can be reversed.

Delete permanently removes the Client Portal.

Can I resend a Client Portal invitation?

Yes. Open the Pending Portal and select Resend Invite.

Where can I see Client Portal activity?

Open the Client Portal and review Client Portal Activity.
