Portfolio Report

The Portfolio Report helps you identify and segment contacts based on values, contributions, estate values, and summary totals for selected Product Line(s).

Instead of reviewing contacts one at a time, you can quickly find groups of clients that meet specific financial criteria and export the results for outreach, reporting, or analysis.

Why Use the Portfolio Report?

The Portfolio Report is designed to help advisors and staff answer questions such as:

  • Who are my highest-value clients?

  • Which clients have less than $50,000 in assets?

  • Which contacts have assets in a specific product line?

  • Who should be included in my next marketing campaign?

  • Which clients have negative net contributions?

Accessing the Portfolio Report

  1. Navigate to Reports from the left-hand menu.

  2. Select Portfolio Report.

  3. Click Open Filter to begin configuring your report.

📌 Note: Access to the Portfolio Report and export functionality is controlled by user permissions. If you do not see the report, contact your system administrator.


Common Use Cases

Find High-Net-Worth Clients

Identify contacts whose portfolios exceed a specific asset threshold.

Example: Find all clients with a Current Balance greater than $500,000.

Build Targeted Marketing Lists

Create outreach lists based on portfolio values, product ownership, or contribution history.

Review Product Line Assets

Analyze assets associated with specific product lines using Product Line Summary Totals.

Identify Clients Needing Attention

Locate clients with low balances, negative net contributions, or other portfolio characteristics that may warrant a review.


Understanding Portfolio Metrics

The Portfolio Report allows you to report on a variety of financial metrics.

Standard Metrics

Product Line Summary Totals

In addition to standard metrics, you can report on Product Line Summary Totals configured within your organization. This allows you to analyze portfolio values by specific product lines.

Creating a Portfolio Search

  1. Click Filter.

  2. Select the metric you want to report on.

  3. Enter a Minimum Value, Maximum Value, or both.

  4. Add additional metrics as needed.

  5. Click Apply.

The report will return contacts that meet all active filter criteria.

Example: Find Clients with More Than $500,000 in Assets

  1. Open the Portfolio Report.

  2. Add Current Balance.

  3. Enter 500000 in the Minimum field.

  4. Click Apply.

The report will display all contacts whose Current Balance is $500,000 or greater.


Understanding Min and Max Values

You can use Min and Max values to create highly targeted searches.

Goal

Filter Example

Find clients above a threshold

Min = $500,000

Find clients below a threshold

Max = $50,000

Find clients within a range

Min = $100,000, Max = $500,000

Display a metric without filtering

Leave Min and Max blank

📌 Note: Filter ranges are inclusive. A minimum value of $100,000 includes contacts with exactly $100,000.

🔍 Tip: Leave either field blank to create an open-ended range.


Interpreting the Results

After applying filters, the report displays:

  • Contact Name

  • Assigned Owner

  • Selected portfolio metrics

Each selected metric appears as its own column, making it easy to compare values across contacts.

Searching Within Results

Use the Search by Contact Name field to quickly locate specific contacts within your results.

Search works alongside your portfolio filters and does not change the underlying report criteria.

Exporting Results

To export the report:

  1. Click the three-dot menu in the upper-right corner.

  2. Select Export.

  3. Click Export again to generate the file.

The exported CSV contains the same contacts and metrics currently displayed in the report.

📌 Note: Large exports may take several minutes to generate. You may continue working in Swivel while the export is prepared.


Best Practices

  • Add a metric without Min or Max values if you want to display it without filtering contacts.

  • Combine multiple metrics to create highly targeted client segments.

  • Export filtered results to build marketing campaigns, review lists, or client service initiatives.

  • Your most recent filter settings are automatically saved, making it easy to return to frequently used searches.


Frequently Asked Questions

What Does a Dash (—) Mean?

A dash indicates that the metric has no value for that contact.

If a metric is actively being filtered, contacts without a value for that metric will not appear in the report.

I know a contact should be in the report. Why don't I see them?

A contact may be excluded because:

  • They fall outside one of the selected filter ranges.

  • They do not have a value for a filtered metric.

  • All selected metrics have a value of $0.

Do I need both a minimum and maximum value?

No. You can enter a minimum value, a maximum value, both values, or neither value.

What is included in portfolio totals?

Portfolio totals are calculated using the products and financial data stored within Swivel.

If a value appears lower than expected, verify that:

  • Products have been entered correctly.

  • Account values are current.

  • Any applicable integrations or sync processes have completed successfully.

Can I report on specific product lines?

Yes. Use Product Line Summary Totals to report on portfolio values associated with specific product lines.

Will my filters be saved?

Yes. The Portfolio Report automatically remembers your most recently applied filters until they are cleared.

Can I export my results?

Yes. Results can be exported as a CSV file for use in Excel, Google Sheets, or other spreadsheet applications.
