Creating Opportunities

Let's explore a few ways to add and track opportunities in Swivel:

  • Create an Opportunity directly on the Contact's page

  • Segment Leads by creating an Opportunity from the Leads tab

  • Creating an Opportunity directly from the Opportunity View

  • Add an Opportunity to a Contact from an Event

  • Add an Opportunity to a Contact from an Appointment

Adding Opportunities from the +Create Button on the Top Navigation

  1. Select +Create while anywhere in Swivel

  2. Select the Opportunities accordion

  3. Select your Opportunity Pipeline

  4. Complete New Opportunity form

    1. Contacts

    2. Opportunity Name if left blank, the opportunity name will be an autogenerate series of numbers beginning with OPP- (ex. OPP-B16A8DEE83)

    3. Description optional

    4. Agent

    5. Stage

    6. Staged On

    7. Amount/Premium optional

    8. Est. Close Date optional

    9. Lead Source

    10. Next Step optional

    11. Tags optional

    12. Opportunity Note optional

    13. Origin Event optional

    14. Origin Appointment optional

  5. Click Save button.


Adding Opportunities to Contacts

  1. From the left side Main Menu, navigate to Contacts (or the Clients and/or Leads) tab.

  2. Search and select the desired contact record to open and edit.

  3. From the respective contact record page > click the Opportunities accordion.

  4. Click +New Opportunity button.

  5. If multiple pipelines configured, select the desired Pipeline (otherwise, skip this step).

  6. New Opportunity form slide out window appears.

  7. Complete New Opportunity form

  8. Click Save button.


Add Opportunities from the Leads Tab

  1. From the left side Main Menu, navigate to the Leads tab.

  2. Locate the desired lead and > click the Opportunity button (trophy icon) to the right

  3. If multiple pipelines configured, select the desired Pipeline (otherwise, skip this step).

  4. New Opportunity form slide out window appears.

  5. Complete New Opportunity form

  6. Click Save button.


Adding Opportunities from the Opportunity View

  1. From the left side Main Menu, navigate to the Opportunities tab.

  2. Click the +Create Opportunity button and select the desired Pipeline

  3. Complete New Opportunity form

  4. Click Save button.


Creating Opportunities Directly from an Event

πŸ“Œ Note: You must have registered attendees in the event before you can create opportunities. To learn how to register attendees or create an event, please visit the Swivel Help Center.

  1. From the left side Main Menu, navigate to Marketing

  2. In the Open Events tile, < click into the desired event to go to the Event Show Page

  3. The Registered tile will display all contacts who have been registered for this event.

  4. Once you have located the desired contact to create an opportunity for, < click the Trophy Icon (Opportunity Button)

  5. New Opportunity form slide out window appears.

  6. Complete New Opportunity form

  7. Click Save button.


Creating Opportunities Directly from an Appointment

πŸ“Œ Note: The contact must have an appointment created before adding an opportunity. To learn how please visit the Swivel Help Center.

  1. From the left side Main Menu, navigate to Contacts (or the Clients and/or Leads) tab.

  2. Search and select the desired contact record to open and edit.

  3. From the respective contact record page > click the Appointments accordion.

  4. Click the Trophy Icon (Opportunity button)+New Opportunity button.

  5. If multiple pipelines configured, select the desired Pipeline (otherwise, skip this step).

  6. New Opportunity window displays.

  7. Complete New Opportunity form

  8. Click Save button.

πŸ” Tip: If you leave the Name field empty, Swivel will autogenerate an opportunity name beginning with "OPP-". You will always have the option to edit or change these opportunity names later.

πŸ” Tip: Marketing customization must be configured prior to associating an opportunity to an origin event.

πŸ” Tip: Opportunity Notes created on an opportunity record are indicated with a trophy icon.


Editing Opportunities

πŸ” Tip: Editing an Opportunity should be reserved for instances where you wish to change the initial information of the opportunity such as changing the name of the Opportunity, adding a description, connecting the opportunity to an appointment or event, etc.

  1. Locate the desired opportunity record to edit from either the Contacts page directly, or through the Opportunities View.

  2. To the right, click the Action Menu icon > select Edit.

  3. Complete Edit Opportunity form pop-up window.

  4. Click the Save button.


Advancing Opportunities

After you’ve created an opportunity, you will want to update the Sales Stage to track the contact's progression through through your sales process.

  1. From an opportunity record, click Advance Sales Stage button.

  2. Complete Sales Stage form pop-up window.

  3. Click Save button.

πŸ” Tip: Show History button from the Sales Stage form pop-up window tracks and displays the sales stage history for a given opportunity.


Associating Products to Opportunities

  1. Once you’ve created an opportunity, from the opportunity record > click +Product.

  2. New Product form pop-up window appears.

  3. Complete New Product form

    1. Institution

    2. Product

    3. Agent of Record

    4. Status

    5. Status Date

    6. Plan Type

    7. Owners Note how the contact is automatically assigned

    8. Beneficiaries

    9. Number

    10. State of Business

    11. Opportunity pre-filled by default

  4. Click Save.

πŸ” Tip: You can associate multiple products to one (1) opportunity. We recommend associating one (1) product to one (1) opportunity when you need to manage the application and new business process separately for each product and institution.


Associate Existing Opportunities to Products

To associate an opportunity to a product, navigate to the Opportunity field on the New Product Form, or by editing an existing product, and select the desired Opportunity from the drop-down list. The dropdown options will only display existing open and closed opportunities associated to a given contact.

Opportunity Name

The name of an opportunity.

Description

Additional details of the opportunity.

Agent

Identifies the agent assigned to a given opportunity.

Stage

Identifies the current sales stage for a given opportunity.

Staged On

The effective date for the current sales stage.

Amount/Premium

Identifies the estimated purchase amount.

Est. Close Date

The projected close date for the opportunity.

Lead Source

The lead source for the associated opportunity.

Note: The drop-down will display all configured lead sources.

Next Step

Identifies the next action required to move the opportunity forward.

Tags

Create and/or add tags associated to the opportunity.

Opportunity Note

Provides any helpful details about the opportunity.

Origin Event

Identifies an event associated to a given opportunity.

Origin Appointment

Identifies an appointment associated to a given opportunity.


How to Move Opportunities Between Different Pipelines

  1. Navigate to Opportunities from the left-hand main navigation menu.

  2. In Opportunities < click into the opportunity you want to move

  3. The Opportunity show page will display and from here > Click the three-dot Action Menu (not the edit button) and select Change Pipeline.

  4. Select the desired pipeline in the drop-down field.

  5. Click Save button.
