Create & Manage Contact Lists

What are Contact Lists?

Contact Lists are used to easily organize your contacts. The Create List tool in Swivel allows you to create a list based on specific criteria. Currently, all Swivel lists are dynamic lists which will automatically update even after the list has been created.

Contact Lists can be used to:

  • Create a Mailing Distribution list for Direct Mail Campaigns

  • Tailor communications to specific clients or policy holders.

  • Prioritize Lead Lists

  • ​Prepare for Annual Reviews

  • Sending a marketing email to a list of recipients. See Broadcast Emailing to a Contact List.


Creating New Contact Lists

🔍 Tip: We recommend creating Saved Lists from the Contacts tab so you can select from all of your Contact Categories. If you build a list on the Leads tab or Clients tab, you can only use that contact category.

Create and View Lists from the Contacts Tab

  1. From left side navigation menu, go to Contacts tab.

  2. Click the +Create List button on the engagement bar.

  3. In the Name box, create a name for the saved list.

  4. Under the Contact Filters section > click > +Add Filter button to add the desired contact filters for you list

  5. Under the Product Filters section > click > +Add Filter button to add the desired product filters for you list

  6. Click the Save button. You will be redirected to the View Lists page with all of your saved Contact Lists.

Create and View Lists from the Leads Tab

  1. From left side navigation menu, go to Leads tab.

  2. Click the +Create List button on the engagement bar.

  3. In the Name box, create a name for the saved list.

  4. Under the Contact Filters section > click > +Add Filter button to add the desired contact filters for you list

  5. Under the Product Filters section > click > +Add Filter button to add the desired product filters for you list

  6. Click the Save button. You will be redirected to the View Lists page with all of your saved Leads Lists.

Create and View Lists from the Clients Tab

  1. From left side navigation menu, go to Clients tab.

  2. Click the +Create List button on the engagement bar.

  3. In the Name box, create a name for the saved list.

  4. Under the Contact Filters section > click > +Add Filter button to add the desired contact filters for you list

  5. Under the Product Filters section > click > +Add Filter button to add the desired product filters for you list

  6. Click the Save button. You will be redirected to the View Lists page with all of your saved Client Lists.


Contact Filter Fields

  • Contact Categories: The categories in which contacts are organized. (Ex: Lead)

  • Contact Status: The statuses within a given Contact Category. (Ex: Active)

  • Contact Type: Ex: Individual

  • Record Status: Select from Active or Archived

  • Older Than: Specified Age

  • ​Younger Than: Specified Age

  • ​Agents: The assigned contact agent

  • Counties: The contact's county (e.g. Jackson, Pulaski, etc.)

  • Address State: The contact's state of residence (e.g. Kansas, Texas, Colorado, etc.)

  • ​Offices: For multiple office locations

  • Zones: For marketing segments such as geographical location or territory

  • Lead Source: The source of the lead such as internal or referral.

  • Include Tags: Custom tags that you have created

  • ​Exclude Tags: Custom tags that you have created

  • Contact Custom Fields: Custom fields for your contacts. To learn more about Custom Fields, please visit Custom Fields.

Product Filter Fields

  • Product Lines: Select from the available lines of business (e.g. Life Insurance)

  • Plan Types: The plan type associated to the product (e.g. Non-Qualified, Qualified, etc)

  • Product Types: Also known as Product Offering Types. Refers to the sub-categories for a specific line(s) of business (e.g. IUL)

  • Products: Also known as Product Offering. The specific product name offered by a given financial institution.

  • Carrier & Institutions: Specific Insurance Carriers, Broker-Dealers or Custodians

  • Agent of Record: Agent of Record for the policies or accounts

  • Product Renewal Month: Also known as the policy anniversary month or account opened month.

  • Product Custom Fields: Custom fields for your contacts (e.g. Bonus). To learn more about Custom Fields, please visit Custom Fields.


Viewing & Managing Lists

  1. From left side navigation menu, go to either the Contacts, Leads, or Clients tab.

  2. Go to View Lists button on the engagement bar.

  3. Search and select a desired list to view.

Edit List Filter Criteria

  1. To edit, select the three-dot Action Menu on the right hand side of your desired list.

  2. Select Edit.

  3. Complete Update Existing Filter form.

  4. Click the Save button.

Engaging with a List

  1. To send a Broadcast Email, select the Email Engagement Button at the top of the list. Complete the 4-step email creation wizard.

  2. To send a Broadcast Text Message, select the Text Message Engagement Button at the top of the list. Complete the 4-step email creation wizard.

Exclude Contacts from Lists

Users have the ability to exclude contacts from Saved Contacts Lists without having to remove or edit the filter criteria.

Remove a Contact from a Saved List

  1. Navigate to the desired list

  2. Click the Red Icon to remove the individual and move them to the Excluded contacts tab.

Add an Excluded Contact back to a Saved List

  1. Navigate to the desired list and < click the Excluded Contacts tab

  2. Click the Teal Icon to add the contact back to the list


1-to-1 Communication with Contacts on a List

Lists are typically an easy way to engage with a large list of contacts, but there can also be a need to send a 1-to-1 message or call to a contact within a saved list. To do so, select either the Email, Call, or Text icon on a given contact within a list.

Action Icons on a Contact List

There are 3 action icons listed on each contact on a given contact list. These icons allow you to create new objects in Swivel related to that contact.

Using this icon, a user can convert the contact to an opportunity. By selecting, this will open the +Create Opportunity modal.

This icon allows you to create a new appointment by selecting from configured appointment types and then opens the +New Appointment Form and will automatically assign the given contact to the appointment

Use this icon in order to create a new product associated to this contact. This will open the +New Product form to complete all applicable fields.


Viewing Communication Results for a Contact List

When viewing a contact list, users can view communication results for the list as a whole, or for individual contacts.

  1. From left side navigation menu, go to either the Contacts, Leads, or Clients tab.

  2. Go to View Lists button on the engagement bar.

  3. Search and select a desired list to view.

View Communication Results - select this option when you want to view all broadcast engagements you have sent to this entire contact list.

Individual Communication Results - to view the engagements you have sent to an individual contact, both broadcast or 1-to-1, select the chevron next to a given contact in the list.
