What are Custom Fields?
A Custom Field allows you to capture additional, specific information tailored to your unique business needs. Unlike our standard, native fields which are predefined, custom fields provide flexibility and customization options.
Swivel allows you to configure Custom Fields for the following:
How do I add custom fields?
From the main navigation menu, navigate to Settings > click Custom Fields
From the drop-down options (see above), > click on the tab where you would like to add your custom field (i.e. Appointment Fields, etc.)
Navigate to the desired option displayed on the Manage Custom Fields page and > click Edit
Click the +Add New Field button on the Edit Custom Fields form pop-up window.
Name: This is what will display as the header for the custom field
Type
Text: default option, allows you to type in text
Number: if you need to enter in numerical information
Currency: if you wish to have the data formatted as currency
Choice: select if you want to create a drop-down menu of pre-defined choices
Required: Select the Required option to ensure essential information is provided. This also helps to maintain the consistency and completeness of the data collected. When a required, custom field is left empty on a corresponding form, the form will prompt the user to complete the required field(s) before it is submitted successfully.
Sensitive: Select the Sensitive option to collect confidential information or other private data, while also monitoring the frequency in how much this data is viewed and updated. Any access to a sensitive custom field will be logged as a view and/or update event on the PII Report.
Archived: Select if you no longer wish to use the custom field, but want/need to maintain the data previously entered.
Allow Primary & Secondary Contacts (This should be reserved for Trusts, Committees, Companies and Organizations.)
To create additional custom fields, > click +Add new Field button and repeat. Once you are done, > click Save.
π Tip: You can create one custom field and easily apply it to all types within the same category. From the Manage Custom Fields display, select the All option.

Where do contact type custom fields display?
From a given contact record, any custom field configured for that specific contact type (e.g. Individual, Company, etc.) will display in the Contact Details.
How do you manage the viewing and accessing of data stored in sensitive custom fields?
Similar to Date of Birth, SSN and Medicare Number fields, any user that views and updates a sensitive, custom field will also be logged on the PII report.
Who can Create Custom Fields?
Only users with the Owner and/or Manager role can create and manage custom fields.
Can I apply Custom Field to all Contacts?
Yes! You can create one custom field and easily apply it to all types within the same category.
Navigate to Settings > Contact Fields > click Edit button on All Contacts
Complete the Edit Custom Fields Form > click Save.
Can I filter by Custom Fields?
Yes! Navigate to Advanced Filter on the Contact Showpage and at the bottom you will see a section to Sort by Custom fields.
Can I have a Custom Field display on the Swivel Summary?
You can select any of your Product (e.g. custom fields on the Product Line, Product Type, and/or Product) custom fields display on the Swivel Summary. From the Edit Custom Fields Form, check Show on Product Summary.
