What are Appointments?

Swivel makes it easy to schedule and manage your calendar through Appointments. Appointments refer to scheduled events, meetings and even personal engagements.

What are Appointment Types?

Swivel uses Appointment Types to organize and differentiate various kinds of appointments based on their purpose, duration, or other attributes. This helps to streamline the scheduling process by providing predefined categories so users can quickly select the appropriate type--saving time and providing consistency.

Your account is pre-configured with the following appointment types: Personal, Follow-Up, General, Initial, and Client Review.

Appointment Types also allow you to apply specific settings or rules based on the selected type such as the default duration, color code, and even supports workflow templates.

Options to Schedule an Appointment

Swivel gives you several options to create and manage client/lead appointments and personal items.

πŸ” Tip: Whether you create an appointment from the Dashboard, Contact, Campaign, Event, and/or Outlook calendar the appointment will translate and update in all associated records.

Creating Appointments from Dashboard Widget

  1. From the Dashboard, navigate to the top right and < click on the blue Settings icon and enable the Events and Appointments widget. (Note: the gear color changes to dark gray once you click on it.)

  2. Go to the Upcoming Events & Appointments widget.

  3. Click +New button > go to Appointments section > Select Appointment Type.

  4. Complete New Appointment form pop-up window.

    1. Contacts

    2. User Calendars

    3. Status

    4. Subject

    5. Location

    6. Start

    7. Start On

    8. End On

    9. All Day - users can select this check box for the the calendar event to represented for the whole day or across multiple days

    10. Description

    11. Campaign optional

    12. Event optional

  5. Click Save button.

  6. The new appointment now appears on Upcoming Events & Appointments.

  7. The new item has also been added and appears on the corresponding Outlook calendar.

  8. The new appointment also appears in the associated Contact records selected.

All-Day Appointments

Swivel Calendar supports All-Day Appointments.
When creating or editing an appointment, you can select the All Day checkbox to schedule an event that spans the entire day (or multiple days) without choosing start and end times.
All-Day Appointments appear at the top of the selected date in your calendar.


Creating Appointments from the Calendar

  1. From the Main Menu > go to Calendar > click +Appointment button and select the Appointment Type from the drop-down.

  2. From the contact record, go to the Appointments tab.

  3. Complete New Appointment form pop-up window.

  4. Click Save button.


Creating Appointments from the +Create Button on the Top Navigation

  1. Select +Create

  2. Select the Appointments Accordion

  3. Select your Appointment Type

  4. Complete New Appointment form pop-up window.

  5. Click Save button.


Creating Appointments from the Contact Record

  1. From the Main Menu > go to Contacts > find the desired contact and < click to open their record.

  2. From the contact record, go to the Appointments tab.

  3. Click +New Appointment button > Select Appointment Type.

  4. Complete New Appointment form pop-up window.

  5. Click Save button.

  6. The new appointment now appears on the Appointments tab list for the contact(s).


Creating Appointments from a Campaign

  1. Navigate to Marketing and > click the desired campaign from the Open Campaigns tile.

  2. Navigate to the Appointments tile > click the +New Appointment button

  3. Select the Appointment Type from the drop-down menu.

  4. Complete the new Appointment form and > click Save.
