What's the difference between a Task and a Workflow?

A Task is a single action or assignment that needs to be completed. Similar to a small item on your to-do list. For example, a task could be "call John Smith" or "email Jane Smith."

On the other hand, a Workflow is a sequence of tasks or actions that must be completed in order to accomplish a larger objective. Similar to an instruction manual. For example, you could have a new client onboarding workflow that might include tasks (or workflow steps) like "send welcome email," "schedule orientation meeting," and "follow up after one week."

Using workflows offers several benefits by helping you operate more efficiently, consistently, and productively.


How do I leverage Workflows for my business?

Automated workflows allow you to set automation triggers to automatically run a given workflow activated by a specific action. Different workflow types come with different automation triggers. Automated workflows help you act on new opportunities, opening a new application, processing service requests, are some examples.

  • Automatically schedule workflows for Client Reviews and to help manage your marketing initiatives.

Workflows and features for Accountability

  • Workflows to manage lead outreach and make sure you and your team are actively working new leads.

What if I need the workflow to run on a specific day?

Similar to assigning workflow steps and/or tasks to be due on a specific date, you can schedule workflows to execute on a given future date.

  1. Go to Run Workflow option from any action menu (opportunity, product, contact, etc.)

  2. Select desired workflow from the Run workflow drop-down selection menu.

  3. Enter any additional details in Reason for running workflow field (optional)

  4. Go to Scheduled Start Date and type or select date from the calendar picker.

  5. Click Run.

  6. Workflow is now scheduled for a future date.

  7. Click Close.

Where can I see my Tasks and Workflows?

We recommend using the Workflows Dashboard Widget to see your upcoming and in-progress workflows or the Workflows Page.

Users can also access both the task and workflows dashboard widget from the Calendar tab on the left side navigation.

To access a larger, consolidated Workflows View, select the Workflows tab on the main navigation menu.

To access a larger, consolidated Tasks View, select the Tasks tab on the main navigation menu.
