What is an Import?

An import is the process of transferring data from one source, like a spreadsheet or other CRM, into Swivel. The goal is to have your information in the system as quickly and easily as possible. Swivel helps accomplish this goal by supporting the following types of imports:

  1. Contact Only

  2. Contact and Product

  3. Event Attendance

Users can import into Swivel from the following locations: the Contacts tab, the Leads tab, the Clients tab, and on a specific Event Page.

Import Use Cases

Contact Only

The contact only import is perfect for getting your leads into the system such as purchased leads, contacts from referrals sources, or lead generation campaigns. We recommend importing leads from the Leads tab.

Contact and Product

The contact and product import should be used when bringing over clients since you can create contacts and add their policy and account information simultaneously. This is perfect for importing a carrier report or a book of business report. We recommend importing clients and their product information from the Clients tab.

🚧 IMPORTANT: The contact only and contact & product imports are accessed the same way; however, at this time, Swivel can only import policy information as part of a contact import. If you complete a contact only import, you will have to add these products to each contact individually using the New Product Form.

🚧 IMPORTANT: Imports only create new contact records. Existing records in the import file will return a Duplicate Error to resolve but do not update the existing contact (i.e. You cannot update contacts with any additional or different information such as address, phone number, or policy information from an import).

Event Attendance

The event attendance import allows you to create contacts and tie them to a specific event such as a seminar. We recommend importing attendance lists from the the specific Marketing Event page.


Import Requirements

All files being imported into Swivel must:

  • Be a .csv file

  • Have only one sheet

  • Include a header row in which each column header corresponds to a native field in Swivel. These headers can be organized in any order without impacting the import.

Import Recommendations and Best Practice

Here are key important items to note before you get started:

  • We recommend submitting a trial import with 1-2 contact records prior to importing a larger data file. This ensures the imported data maps to appropriate fields in Swivel as expected. Items to review include:

    • Viewing the contact records in Swivel

    • Import file data headers

    • Valid formatting for names, birthdates, zip codes, etc.

    • Account Settings and Customizations configurations
