Understanding Filters in Swivel

Filters help you find records that match specific criteria. The most common filters in Swivel are Contact Filters and Product Filters.

Filters are available in many areas of Swivel, but the available filters and options depend on where you're filtering. Some reports have limited filtering options.

How Contact and Product Filters Work

Contact Filters and Product Filters use three parts:

  1. Field — the information you want to filter by, such as Servicing Agent or Product Status.

  2. Operator — how you want to filter the field.

  3. Value — the information you want to match.

Filter Operators

The operators available depend on the field.

What It Finds

is

For Number of Referrals (Min) — finds records with at least the specified number. For Number of Referrals (Max) — finds records with no more than the specified number.

is any of

Finds records where the field matches one or more selected values.

is empty

Finds records where the field has no value.

is not empty

Finds records where the field has a value.

is between

Finds records within a selected range, such as a date range.

🔍 Tip: Use is empty to find records with missing information, such as contacts without a Servicing Agent or Lead Source.

📌 Note: Not every field supports every operator. Swivel only shows the operators available for the selected field.

Contact Filters

Contact Filters let you find contacts based on information such as their status, location, assignments, tags, products, and other contact details.

Contact Filters include:

  • Contact Category

  • Contact Status

  • Contact Type

  • Record Status

  • Older Than

  • Younger Than

  • Birthday Month

  • Lead Source

  • Product Interests

  • Servicing Agents

  • Offices

  • Counties

  • Primary Address States

  • Primary Address Cities

  • Primary Address Zipcodes

  • Zones

  • Include Tags

  • Exclude Tags

  • User Assignments

  • Group Assignments

  • Do Not Contact

  • Number of Referrals (Min)

  • Number of Referrals (Max)

  • Contact Created Date

  • Custom Fields on Contacts

📌 Note: Custom Fields appear in the filter list by their individual field names, not under a "Custom Fields" category. The available fields depend on your organization's configuration.

Product Filters

Product Filters let you find records based on product information.

Product Filters include:

  • Product Status

  • Product Line

  • Plan Types

  • Product Types

  • Products

  • Carriers & Institutions

  • Agent of Record

The available operators depend on the Product Filter.

FAQs

What's the difference between "is empty" and "is not empty"?

Use these operators to find records based on whether a field has information:

  • is empty finds records with no value. For example, find contacts without a Servicing Agent.

  • is not empty finds records with a value. For example, find contacts with a Servicing Agent.

How do I filter by a date range?

Use is between when filtering a date field by a specific range. Select the start and end dates for the range.

What's the difference between Servicing Agent and Agent of Record?

Servicing Agent is a Contact Filter that identifies who services the contact.

Agent of Record is a Product Filter that identifies the agent associated with a specific product. In the financial services industry, this role may also be referred to as the writing agent.

Use Servicing Agent to filter contacts by who services them. Use Agent of Record to filter products by the agent associated with them.

Can I filter contacts by when they were created?

Yes. Contact Created Date lets you find contacts based on when they were added to Swivel. You can use is between to filter for a specific date range.

Can I filter by Custom Fields?

Yes. You can filter contacts using Custom Fields configured for your organization. Custom Fields appear in the filter list by their individual field names.

For example, a Custom Field named Bonus Rate appears as Bonus Rate in the filter list.

Why don't I see an operator?

Not every field supports every operator. Swivel only shows the operators available for the selected field.

Why don't I see a filter in a report?

Some reports have limited filtering options. A filter or operator available in one area may not be available in another.
