Setting up your Swivel Sync device

What is Swivel Sync?

Swivel Sync is a service available with Enterprise and Premier subscriptions. For users storing product data in Swivel, it connects with supported carriers and institutions to automatically update your clients’ policy and account values in Swivel.

What You Need to Get Started

  • 1 Swivel Sync device included

  • 1 power cord included

  • 1 ethernet cable included

  • An internet connection and secure network

  • Access to your router

  • Access to an outlet near your wifi router

Step 1: Device Setup

🚧 Important: You must have an Owner and/or Manager user permission role to complete device setup.

  1. Plug in the power cord to the Swivel Sync device and to

    an outlet near your wifi router.

  2. Plug in the ethernet cord to the Swivel Sync device and your wifi router.

    Press power on the front of the device.

  3. Log into your Swivel account at portal.swivelcrm.com

  4. Navigate to the Swivel Sync tab on the left side navigation menu.

  5. From the Dashboard tab > Device Health section > click +New Swivel Sync Device button

  6. Enter the device's serial number in the Serial Number Field (the Serial Number is located on the bottom of your device)

    *Important Note: Serial number is case-sensitive

  7. Click Create Device.

  8. Navigate to the Dashboard > Device Health section and confirm your device is online.

    You can also confirm your device is online by navigating to the Device tab > checking the Last Heartbeat.

πŸ” Tip: You should see a heartbeat within 30 minutes of plugging in your Swivel Sync Device and entering in the Serial Number.

Step 2: Connect an Institution & Add a Login Source

🚧 Important: You must have an Owner and/or Manager user permission role to manage connected institutions and login sources.

A connected institution represents an insurance carrier or financial institution stored in your Swivel account and connects (or binds) that institution to the corresponding Swivel Sync plugin. Each supported Swivel Sync carrier/institution has a dedicated Swivel Sync plugin.

A login source represents each unique agent or advisor login required to access data from the corresponding carrier or institution. Data includes policy numbers and values or account numbers and value

  1. Navigate to the Institutions & Sources tab > click Connect Institution button.

    1. Select a Carrier/Institution

    2. Select the corresponding Swivel Sync Plugin

    3. Click Save.

  2. Once you connect an institution, you can now add the login source(s). From the Institutions & Sources tab > navigate to a connected institution > click the +Login Source icon.

  3. Go to Name field > Input a name to describe for the login source (ex. username or email address) See also Quick Tips for Adding Sources

  4. Click Save.

  5. Repeat steps 1-4 for each supported Swivel Sync carrier or institution you wish to sync.

Step 3: Link Sources to Swivel

Once, you've connected your supported carriers & institutions and created your Swivel Sync login sources, you're ready to login to each source using your agent or advisor institution credentials. Delegate access credentials may also be used.

πŸ” Tip: All users have access to link available login sources. Swivel Sync will need to be linked daily as part of your business operations flow. We recommend linking sources using the credentials of someone who has full visibility into the accounts and/or policies, and is comfortable managing this process daily.

Link Sources

  1. Access the Institutions & Sources tab to link your sources in either of the following ways:

    1. From the top navigation bar, click the Sync button > Institutions & Sources

    2. From the main navigation menu, click Swivel Sync > click Institutions & Sources tab

  2. For each unlinked source, click the Link button

  3. When the Link pop-up window appears, enter your login credentials to access the institution

  4. Click Link.

  5. For institutions that require 2-factor authentication, you will be prompted to enter the authentication code sent by the institution

  6. Once your credentials are authenticated and successfully linked, click Done

  7. Complete steps 2–6 for all un-linked sources until the dashboard reflects all sources as Linked

How long does each source remain linked?

The duration that sources remain linked is determined by each institution's website time-out settings. This can range from hours to days between carriers and institutions.

πŸ” Tip: Although linked sessions vary by carrier, we highly recommend checking your Swivel Sync Dashboard daily to ensure all sources are linked and your policies and account values are updated consistently.

Step 4: Map Values to Swivel Summary

Now that your Swivel Sync device setup is complete, you'll start seeing policy values update automatically in Swivel. From here, it's easy to prepare a client-ready summary that brings all policy and account details together in one printable view.

  1. Navigate to a client's record

  2. Click the Swivel Summary button
    ​

  3. Scroll to a product

  4. Click the Map Values button
    ​

  5. Review the summary totals for that product, listed on the left-side column.
    ​

  6. For each Swivel Summary total, select the desired product value to map. The drop-select menu will include value options already configured for that product.

  7. Repeat this mapping process for all products offered by your organization.

πŸ” Tip: Mapping for a product is a one-time setup. Configuration of the product will auto-apply to all other policies or accounts of the same product offering. For example all Allianz 222 policies will share the same value <> summary total mappings.


Troubleshooting Device Setup

What if I'm experiencing device issues reaching an internet connection, my device is still offline, or the Last Heartbeat indicates "never"?

This indicates that there is a potential issue with your internet network connection.

  • Verify that the device is connected to an active, internet port for your network connection.

  • Verify the serial number on the device, matches the serial number entered in Swivel from Swivel Sync > Devices.

  • If device is connected to an active, internet connection but still offline, it may be prevented by a firewall.

  • Reach out directly to your internet network provider and/or IT department for additional assistance and make sure that your firewall is allowing outbound traffic from the Swivel Sync Device, and that outbound traffic is not blocked in any way.
