The Annual Reviews Report helps identify contacts whose products are approaching a renewal or review period based on a selected date type and month.

Use this report to:

  • Identify clients due for an annual review

  • Create annual review call lists

  • Plan proactive client outreach

  • Export annual review lists

  • Verify product renewal and review data

🔍 Tip: If your goal is to automatically remind clients to schedule an annual review, consider using Automations triggered by a product's Issue Date or Effective Date. Automations can send emails and text messages automatically without requiring a monthly report review. See: Automations


What You'll See in the Annual Reviews Report

The Annual Reviews Report displays contacts based on product dates associated with their policies and accounts.

You can choose which product date is used when generating the report:

  • Open Date

  • Issue Date

  • Effective Date

  • Closed Date

🔍 Tip: The default date type is Open Date.

How to Filter the Annual Reviews Report

  1. Navigate to Reports > Annual Reviews Report.

  2. Select the desired date type:

    • Open Date

    • Issue Date

    • Effective Date

    • Closed Date

  3. Select the desired review month.

  4. To further refine your results, select Filter.

Available Filters

The Annual Reviews Report supports Contact and Product filters to help narrow results by advisor, product information, assignments, tags, and other criteria.

  1. Select Filter to apply your criteria.

Exporting the Annual Reviews Report

To export the report:

  1. Select the Action Menu.

  2. Click Export.

🔍 Tip: Exported annual review lists can be used for mail house uploads, postcard mailings, call campaigns, or other client outreach initiatives.

Use Automations for ongoing annual review reminders and use the Annual Reviews Report to review upcoming renewal opportunities, validate product data, and plan advisor outreach.

Optional: Create an Annual Review Email Campaign

The Annual Reviews Report can also be used to create a manual email campaign reminding clients to schedule their annual review.

💡 Tip: For most annual review reminder workflows, we recommend using Automations based on a product's Issue Date or Effective Date. Automations allow reminders to be sent automatically throughout the year.

To create an Annual Review campaign:

  1. Filter the report to the desired audience.

  2. Configure your Annual Review Email channel and template.

  3. Create a campaign from the Action Menu.

  4. Schedule the campaign for delivery.

What is the difference between the Annual Reviews Report and Annual Review Automations?

The Annual Reviews Report helps identify clients due for a review and supports manual outreach efforts.

Which date should I use?

The best date depends on your business process:

  • Open Date – When the product was opened in Swivel

  • Issue Date – When the product was issued

  • Effective Date – When coverage or the product became effective

  • Closed Date – When the product was closed

Why don't I see a client I expected?

Verify that:

  • The product contains the appropriate date.

  • The selected month matches the product date.

  • Additional filters are not excluding the contact.

Can I export annual review lists?

Yes. Use Action Menu > Export to export the report results.

Can I send annual review emails from this report?

Yes. The report supports creating a manual annual review email campaign. However, many organizations prefer to automate annual review reminders using Automations.
