Swivel Assistant

Files From the Swivel Assistant

Download the spreadsheets, documents, decks and exports the Swivel Assistant makes, and save a file to a contact or other record with File it.

When the Swivel Assistant makes a file for you, or starts a Swivel export, the file shows in its answer as a file card. The card shows the file’s name and a Download link.

Who can do this: Every user in a Swivel account. Making a file uses AI credits.

The assistant can make:

  • Spreadsheets
  • Word documents
  • Slide decks
  • PDFs

It can also run Swivel’s own exports, such as a contact or birthday export, and give you the file.

  1. Find the file card in the assistant’s answer.
  2. Click Download. The file opens in a new tab.

A download link opens only for you, in the browser where you are signed in to Swivel. Someone else who gets the link cannot open the file.

Files the assistant makes are kept in your Swivel downloads for 90 days. A card shows Expires and a date. After that date, the card shows Expired and has no link.

To keep a file longer, download it or save it to a record with File it.

File it saves a file from the chat to a record in Swivel, so your team can find it there.

  1. Find the file card in the assistant’s answer.
  2. Click File it. The button shows Filing… while the assistant works.
  3. If the assistant isn’t sure where the file goes, it asks. Pick the record from the options, or type where it goes, such as “Jane Rivera’s record.”
  4. When the file is saved, the card reads Filed to and the record’s name. When the record has its own page, click the name to open it.

You can also ask in your own words, such as “Save that spreadsheet to Jane’s documents.”

You can file a document to:

  • Your firm’s documents
  • A contact
  • A product
  • A campaign or marketing event
  • An institution or vendor
  • An appointment or task
  • A user

The assistant offers only the records you are allowed to add documents to.

Once a file is filed, the card links to the saved document and no longer expires, and File it goes away so the file isn’t filed twice.

You can also save a document you already have, such as a statement or a signed form, to a record.

Who can do this: Every user in a Swivel account, on a page where the message box reads “Ask, or tell me what to do…”. Filing uses AI credits.

  1. Click the + button next to the message box and choose Upload a file or Upload a photo or image, or drag the file onto the chat.
  2. Type where it goes, such as “Save this statement to Maria’s documents.”
  3. Press Enter. If the assistant isn’t sure where the file goes, it asks.

You can file PDFs, images, CSV files, Excel spreadsheets and Word documents. The assistant can file up to 10 attached files in one request, each up to 5 MB. It files to the same records as File it (see Where You Can File).

The button stays off while a request to file that file is in progress. If no answer comes, the button comes back after five minutes so you can try again.

Yes. Click the + button next to the message box and choose Upload a file or Upload a photo or image, or drag the file onto the chat. See Ask the Swivel Assistant for Help.
