Swivel Assistant

Get Work Done With the Swivel Assistant

Tell the Swivel Assistant what you need, and it looks things up and makes changes in Swivel for you, with your permissions. Learn what it can do and when it asks before it acts.

The Swivel Assistant can look things up and make changes in your Swivel account for you. It uses the same actions you have on Swivel’s screens, more than 1,100 of them, and it works with your permissions only.

Who can do this: Every user in a Swivel account, within the user’s role and access code. Doing work uses your account’s AI credits (help questions stay free).

  1. Open any Swivel page and click the sparkles button in the bottom-right corner.
  2. Type what you need, in your own words. For example: “Create a task to call Jane Rivera next Tuesday.”
  3. Press Enter.
  4. Read the answer. When the assistant needs your OK before a change, click Yes, go ahead or No (see When the Assistant Asks First).

The assistant knows the page you are on. On a contact’s record, “Add a note to her record” means that contact.

AreaExample requests
Contacts and households”Find everyone in 30301 tagged #annuity.” “Add Mark as Jane’s spouse.” “Update Jane’s phone number to 555-0142.” “Who has a birthday next month?”
Notes, tasks and comments”Add a note to this contact: called about the renewal.” “What tasks are due this week?” “Mark my task to send the beneficiary form as done.”
Appointments and calendar”What’s on my calendar tomorrow?” “Book a 30-minute review with the Riveras on Friday at 2 PM.”
Opportunities and pipelines”Open an opportunity for Jane for a $50,000 annuity.” “Move the Rivera deal to the next stage.” “How many open deals are in each stage?”
Products and transactions”List Jane’s products.” “Add a life insurance product to this opportunity.”

Workflows”Start the new client onboarding workflow on Jane.” “Complete the next step on the Rivera workflow.”
Automations”Build an automation that emails clients on their birthday.” “Show the last runs of my birthday automation.”
Email, text and calls”Draft and send Jane a thank-you email from my mailbox.” “Show my unread texts.” “Log a call with Jane from this morning.”
Campaigns and marketing events”Register Jane for the March retirement seminar.”
Reports and dashboards”Run the sales report for last quarter.” “Compare this year’s production to last year’s.”
Documents and exports”Export my contacts who have a birthday in May.” “Make a spreadsheet of this month’s new clients.” “Build a slide deck from this report.”
Team and settings”List the users on my account.” “Invite jamie@example.com to the team.” “Give Jamie an access code for annuities only.” “Add a sales stage called Proposal Sent.” (Settings changes need the role the settings screen needs.)
Finding a page”Take me to the opportunities board.” “Where do I set up appointment types?”

The assistant can also work across many records at once, such as “How many contacts did each advisor add last month?” For totals and comparisons, it runs the numbers and gives you the result.

The assistant can make spreadsheets, Word documents, slide decks and PDFs, and it can start Swivel’s exports for you. Each file shows as a card in the chat with a Download link, and you can save it to a record with File it. See Files From the Swivel Assistant.

When you ask, the assistant takes you to the Swivel page it is talking about, such as a contact’s record or a filtered list. It opens only pages Swivel itself gave it.

The assistant asks for your OK before an action that you cannot take back or that reaches outside Swivel.

  • Deleting, sending and outside actions: before it deletes something, sends an email or a text, reaches outside Swivel, or does anything that cannot be undone, the assistant shows what it is about to do and asks. It goes ahead only after you click Yes, go ahead. The question expires after ten minutes; after that, ask again.
  • Changes to many records: when the assistant works through a batch of records, it can make up to 25 changes in one answer without asking. For more, it counts the records first and asks “Make N changes: …” with Yes, go ahead and No. It can make up to 500 changes this way.
  • Anything that costs money: before a purchase, or a send that costs money, it shows a preview with the price. Nothing is charged until you confirm.
  • Lookups never ask. Reading your data does not change anything, so the assistant does not stop to ask.

Each change runs as one step: if something goes wrong partway, nothing is left half-done. If an answer fails after a change was made, the assistant tells you what it did.

A long request can use many AI credits. When one request reaches 200 credits, the assistant stops and asks “Keep going?”:

  • Click Keep going to let it finish.
  • Click Stop here to end the request.

A batch of changes you approved with Yes, go ahead has no check-in, because you approved the whole job. It still uses AI credits.

In a chat of 30 or more messages, the assistant may suggest a new chat. A new chat uses fewer credits because the assistant has less to read. To start one, open the History tab and click New chat.

The assistant does only what you can do on Swivel’s screens:

  • Your role applies. If your role cannot open a screen or make a change, the assistant cannot either. For example, billing actions are for Owners, and pipeline and sales stage settings are for Owners and Managers. See Swivel User Roles and Permissions.
  • Your access code applies. If you signed in with an access code, the assistant sees products, transactions, workflows and tasks narrowed the same way your screens are. When you switch access codes, the assistant follows the one on the page you are on. See Access Codes.
  • Your account applies. The assistant works only in the account you are signed in to. When you switch accounts, it works in the new one.

When you ask for something you are not allowed to do, the assistant tells you it can’t. See Security and Permissions.

I don’t see the change on my page. Where is it?

Section titled “I don’t see the change on my page. Where is it?”

If the page you are on doesn’t show a change the assistant made, reload the page.

Ask it to change the record back, the same way you would ask for any change. The assistant asks before it deletes anything, so you can say No before a record is removed.

  • Attachments on email and text: emails and texts the assistant sends can’t carry attachments.
  • Phone calls: the assistant logs a call that already happened, but it doesn’t place calls.

Why did the assistant say I’m out of AI credits?

Section titled “Why did the assistant say I’m out of AI credits?”

Doing work uses AI credits, and your account has none left. You can still ask help questions. See AI Credits and the Swivel Assistant.
